International applicants influenced by family and agents.

Main Challenge
International decisions are shared between the applicant, their family and their agent, but the team can only see the applicant.

The challenge

International recruitment is the least predictable part of the intake.

UK study visa applications were down 30.6% in the first quarter of 2026 compared with a year earlier, and the countries students come from keep changing.

The number of students from Nepal at English providers nearly doubled in a single year, to 21,910 in 2024-25.

Teams are recruiting from markets where they have less history and where families and agents carry more of the decision.

Most systems record the applicant. The people who shape the decision show up, if at all, as a name in a notes field. So the team writes to the applicant about the course when the family's question is about money.

The moment

Sita is applying for a master's in public health from Kathmandu.

She's comparing three universities on her phone. Her father is reading the fees, scholarship and cost-of-living pages on a laptop at home. Her education agent is looking at entry requirements and visa timelines for the same programme, along with a dozen other students' applications.

Three people. Three devices. One decision.

The international team at the university has one record: Sita's application, submitted by her agent. They can't see that her father has read the scholarship page four times, or that nobody has opened the programme page in a fortnight.

What changes

From one applicant record to everyone in the decision.

The applicant, their family and their agent each have their own Salesforce record and their own reading history.

The team knows which conversation to have with whom: the programme with the applicant, funding with whoever is paying.

After an offer, everyone works from the same checklist of next steps, and each person's activity stays on their own record.

How it works

Three simple steps.

1

Each person becomes known on their own terms.

Sita becomes known when she first fills in a form or signs in on the website. When she receives an offer, her father and her agent are invited into a shared space for her next steps. As each of them accepts, their earlier visits on that device attach to their own Salesforce record.

2

The team sees who  needs what.

Before the call about her offer, a briefing shows what each person has been reading. The international officer speaks to Sita about the programme and sends her father the scholarship guide in plain terms.

3

Everyone works from the same page.

The shared space sets out Sita's next steps: deposit, visa documents, accommodation. Everyone sees the same checklist, and each person's activity stays on their own record.

What it takes

Works with your existing websites and Salesforce environment.

License
Installs into the Salesforce org you already run, so your staff keep working where they work today, with no new login. Your Salesforce administrator installs it, then sets it up to match how your institution works.

Salesforce configuration
Plan for your administrator's time during setup. The more your org has been customised, the more there is to map, and our implementation team works through it with them.

Consent and privacy
Consent applies to every visitor, in every country they're browsing from. Your privacy notice needs to cover it, and you should plan for a DPIA.

The shared space is set up for your offer process during implementation, and Salesforce configuration takes more work where agent records are already customised. International student data attracts the closest scrutiny, so involve your data protection officer early.

In your fastest-growing source market, how many offer-holders paid a deposit last cycle?

How many of those decisions involved a parent, sponsor or agent your team never spoke to directly?

What is one additional deposit worth to you in international fee income?
Most international decisions are made by more than one person. The institution that can tell them apart is the one that answers the right question.

What a pilot would measure

One source market, one team, 90 days. The share of offer-holders in that market who paid a deposit, compared with the previous cycle.
A pilot tests your business case, not just our software. It runs for a defined period of time with a deliberately narrow scope. We review progress with you throughout, not only at the end. The outcome covers what didn't work as well as what did, so your finance team can set the result with confidence. When the pilot succeeds, you'll already know what comes next: which teams or journeys to add, and what each would involve.
